This page explains what information moonfive.co.uk collects when you visit, what it’s used for and what choices you have.
Who we are
This site is run by Moonfive Ltd, a company registered in England (company number 11562229). Registered office: 78 Barleyfields Road, Wetherby, England, LS22 7PT. We are registered with the Information Commissioner’s Office, registration number ZA749250.
For anything to do with your data, email hello@moonfive.co.uk.
What we collect
When you browse the site. We count visits so we know which pages people read. We use two tools for this, described below. Neither one tells us who you are.
When you email us. If you write to hello@moonfive.co.uk, we keep your email and our replies so we can answer you. Our email is hosted by Microsoft 365. We keep that correspondence for up to six years after we last hear from you, which is how long we keep business records.
When you book a call. The “Book a discovery call” button takes you to Calendly, where you enter your name and email to pick a time. Calendly handles that booking under its own privacy policy. Before sending you to Calendly, our site records that the button was clicked, the time, the page you clicked from (if your browser sends it), and any campaign tags in the link (for example, that you came from our letter). It doesn’t record your name, email or IP address. Because nothing in it identifies you, we keep it so we can see over time which pages lead to calls.
The legal basis for all of this is our legitimate interest in answering people who write to us and in knowing which pages and links lead to bookings.
The website check (moonfive.co.uk/check/)
When you use our free website check, we keep the address you typed and the result, your browser and device details, the page you came from and any campaign tags on the link, and an email address and message only if you choose to give them. We also keep a hashed version of your IP address. It is scrambled with a secret key we hold, so it isn’t your IP address, but whoever holds that key could test a guess against it. We use these details to follow up if you ask us to and to count how many checks are run. Each check is deleted automatically after 90 days. Short-lived counters keyed on the hashed IP address limit how many checks one person can run; they last 10 minutes, and a site-wide daily count lasts up to 2 days.
Each check also emails our team the address you typed, the result, where you came from, your device and anything you chose to leave. These emails, and any report you ask us to send you, go out through Mailgun on its EU servers. We search the name part of the domain in the public Companies House register to see which company it belongs to. That search sends nothing about you. The legal basis for all of this is our legitimate interest in running the check and following up when you ask us to.
The check makes one request to the home page of the address you typed and follows up to three redirects from it. If the site refuses secure connections, it makes one plain http request instead. It reads that page and the site’s certificate only, and it doesn’t log in, scan, or read any other page. Each result has its own private link. Search engines are asked not to index it, and that page switches off our analytics so the link isn’t passed on. If you’d rather we didn’t check a site you own, email hello@moonfive.co.uk and we’ll add it to our exclusion list.
Cookies and similar storage
| Name | Set by | What it’s for | How long it lasts | Needs your consent? |

_ga | Google Analytics | Tells one visitor apart from another in our visit statistics | Up to 2 years (Google’s default) | Yes. Only set if you click Accept. |
_ga_V2M7J13MXZ | Google Analytics | Keeps track of your current visit | Up to 2 years (Google’s default) | Yes. Only set if you click Accept. |
moonfive_campaign | This site | If you arrived from a tagged link (for example the QR code on our letter), remembers which campaign it was, so we know where a booking came from even if you book from a different page | 30 days | Yes. Only set if you click Accept. |
If you log in to the site’s admin area, WordPress sets its own login cookies (wordpress_logged_in_…, wordpress_sec_…, wordpress_test_cookie, wp-settings-…). Only people who manage the site use the admin area.
Analytics
Google Analytics. If you click Accept, we load Google Analytics, which records the pages you view, how you got here and roughly where you are. Google processes this data for us. If you don’t click Accept, Google Analytics isn’t loaded at all. We use it only with your consent, and Google deletes the record of what you did on the site after 2 months. The identifier that tells one visitor apart from another is kept for 14 months after your last visit. Google may process it in the United States. Google is certified under the UK Extension to the EU-US Data Privacy Framework, which UK law recognises as giving your data adequate protection.
Cloudflare Web Analytics. This counts every visit, including from people who reject cookies. It sets no cookies and stores nothing in your browser. Cloudflare processes the visit data for us. The legal basis is our legitimate interest in knowing how many people visit and which pages they read. Cloudflare may process the data in the United States, and is certified under the same UK Extension to the EU-US Data Privacy Framework.
Changing your mind
Use the “Cookie settings” link at the bottom of any page to change your choice. If you reject after accepting, we delete the Google Analytics and moonfive_campaign cookies and reload the page without Google Analytics.
You can also clear cookies and site data in your browser settings at any time.
Your rights
You can ask us for a copy of the personal data we hold about you, and ask us to correct or delete it. Email hello@moonfive.co.uk.
You can also object to how we use your data, ask us to limit it, or ask for a copy in a form you can take elsewhere. Where we rely on your consent (Google Analytics), you can withdraw it at any time with the “Cookie settings” link. We reply within one month.
If you’re unhappy with how we’ve handled your data, you can complain to the Information Commissioner’s Office at ico.org.uk.
